Position Overview
Carnegie Corporation of New York (“the Corporation”) seeks a Program Assistant to provide both programmatic and administrative support related to all International Peace and Security program areas, with a special emphasis on work related to nuclear security. Through the nuclear security subprogram the Corporation seeks to reduce nuclear risks, ensure the peaceful use of nuclear technologies, secure weapons-usable nuclear material, assess new relevant technologies, and advance efforts to limit nuclear proliferation.
Major Duties
Program: communicating with grantseekers and prospective grantees; processing and reviewing incoming grant proposals; negotiating with prospective grantees about proposal details, including proposal budgets; initial drafting and later editing grant recommendation write-ups; monitoring active projects and communicating regularly with grantees to ensure compliance with grant commitments; aggregating and distilling grantee products for monitoring and evaluation, and highlighting results; reviewing and making initial determination on grantee requests for grant modification; liaising with peer foundations, funder affinity groups, and professional associations;; preparing PowerPoint or other multimedia presentations for trustees or other audiences; researching select topics and drafting correspondence and other written products; representing the Corporation at meetings and preparing meeting summaries, as required.
Administrative: providing support to the International Peace and Security team, including: preparing and processing grant materials (e.g. tracking and ensuring compliance with internal deadlines, and photocopying and distributing grant-related materials); drafting and managing consultant contracts; maintaining calendars; making travel arrangements and processing expenses; drafting, reviewing, and routing correspondence; organizing and maintaining paper and electronic files; and planning and organizing program-related events.
Qualifications/Qualities:
A graduate degree in international relations or relevant substantive area, is required, with project management or quantitative skills, preferred. Other required qualifications include: strong writing, communications, and analytical skills; proficiency with current information and communication technologies and presentation software; ability to learn new systems and online tools; strong planning and organizational skills; flexibility; ability to work as part of a team, take the initiative, deal diplomatically with internal and external contacts, and adhere to deadlines in a sometimes pressured environment.
